How payments, cancellations, and refunds work on We One Events

This Payment & Refund Policy explains how fees are charged, how payments are processed, and under what conditions refunds may be issued when you register for events through We One Events.
1. Role of the Platform
We One Events is a technology platform that enables organizers to publish events and participants to register and pay online. Entry fees, taxes, discounts, and refund rules for a specific event are set by the event organizer unless otherwise stated. We act as an intermediary for registration and payment processing and do not independently guarantee refunds.
2. Fees & Pricing
- Applicable entry fees, taxes, discounts, and the total payable amount are shown before you confirm registration and proceed to payment.
- Prices are displayed in Indian Rupees (INR) unless stated otherwise.
- Organizers may change fees for future registrations; amounts already paid for a confirmed registration are governed by the terms applicable at the time of payment and the event’s refund rules.
3. Payment Processing
- Online payments are processed through our authorized payment gateway partner (Cashfree) using methods such as UPI, cards, net banking, or other options offered at checkout.
- We do not store your full card number, CVV, UPI PIN, or banking passwords.
- Registration is confirmed only after successful payment (where a fee applies) and any organizer acceptance requirements indicated on your dashboard or receipt.
- Failed, cancelled, or abandoned payments do not confirm a paid registration. Any amount debited in error for a failed transaction should be reported promptly (see section 7).
4. Cancellations by Participants
- Participant-initiated cancellations and refund eligibility are determined by the event organizer and the rules published for that event.
- Unless an organizer expressly offers a refund for voluntary withdrawal, registration fees are generally non-refundable once payment is successful.
- Requests should be made through the contact channels provided for the event or via our Contact page; we will forward or coordinate with the organizer as appropriate.
5. Event Cancellation or Changes by Organizers
- If an organizer cancels an event, reschedules it, or changes material details (date, venue, or mode), refund or credit options are decided by the organizer in line with their published policy and applicable law.
- We One Events is not liable for organizer cancellations, postponements, or venue issues, except where required by law. We will assist with communication and payment-related coordination where feasible.
6. Refund Process & Timelines
- Approved refunds are processed back to the original payment method where supported by the payment gateway and banking networks.
- After approval, refunds typically reflect in the payer’s account within 5–10 business days, depending on the bank, UPI app, or card issuer. Delays beyond our or the gateway’s control may occur.
- Platform or gateway service charges, if any were non-refundable under the payment partner’s terms, may be deducted where applicable and disclosed.
- Refund status may be updated on your participant dashboard or communicated by email when available.
7. Duplicate or Failed Transactions
- If you were charged more than once for the same registration, or charged for a payment that shows as failed on the platform, contact us immediately with the transaction reference, payment date, amount, and registered email.
- After verification with the payment gateway, eligible duplicate or erroneous charges will be refunded to the original payment method.
8. Chargebacks & Disputes
If you raise a chargeback or dispute with your bank or payment provider, we and/or the organizer may provide transaction evidence. Unresolved or fraudulent disputes may result in registration cancellation and account review. Please contact us first so we can help resolve payment issues faster.
9. Taxes
Any applicable taxes included in the payable amount are shown at checkout where configured by the organizer or platform. Tax treatment of refunds follows applicable rules and the original invoice or receipt.
10. Changes to This Policy
We may update this Payment & Refund Policy from time to time. The “Last updated” date at the top of this page reflects the latest revision. Event-specific rules published by an organizer for a given event will apply in addition to this policy.
